Data protection principles<\/strong><\/p>\n<p>The Service is committed to processing data in accordance with its responsibilities under the GDPR.<\/p>\n<p>Article 5 of the GDPR requires that personal data shall be:<\/p>\n<ul>\n<li>processed lawfully, fairly and in a transparent manner in relation to individuals;<\/li>\n<li>collected for specified, explicit and legitimate purposes and not further processed in\u00a0a manner that is incompatible with those purposes; further processing for archiving\u00a0purposes in the public interest, scientific or historical research purposes or\u00a0statistical purposes shall not be considered to be incompatible with the initial\u00a0purposes;<\/li>\n<li>adequate, relevant and limited to what is necessary in relation to the purposes for\u00a0which they are processed;<\/li>\n<li>accurate and, where necessary, kept up to date; every reasonable step must be\u00a0taken to ensure that personal data that are inaccurate, having regard to the\u00a0purposes for which they are processed, are erased or rectified without delay;<\/li>\n<li>kept in a form which permits identification of data subjects for no longer than is\u00a0necessary for the purposes for which the personal data are processed; personal\u00a0data may be stored for longer periods insofar as the personal data will be processed\u00a0solely for archiving purposes in the public interest, scientific or historical research\u00a0purposes or statistical purposes subject to implementation of the appropriate\u00a0technical and organizational measures required by the GDPR in order to safeguard\u00a0the rights and freedoms of individuals; and<\/li>\n<li>processed in a manner that ensures appropriate security of the personal data,\u00a0including protection against unauthorized or unlawful processing and against\u00a0accidental loss, destruction or damage, using appropriate technical or\u00a0organizational measures.\u201d<\/li>\n<\/ul>\n<p><strong>2. General provisions<\/strong><\/p>\n<ul>\n<li>This policy applies to all personal data processed by the Service.<\/li>\n<li>The Responsible Person shall take responsibility for the Service\u2019s ongoing\u00a0compliance with this policy.<\/li>\n<li>This policy shall be reviewed at least annually.<\/li>\n<li>The Service shall register with the Information Commissioner\u2019s Office as an\u00a0organization that processes personal data.<\/li>\n<\/ul>\n<p><strong>3. Lawful, fair and transparent processing<\/strong><\/p>\n<ul>\n<li>To ensure its processing of data is lawful, fair and transparent, the Service shall\u00a0maintain a Register of Systems.<\/li>\n<li>The Register of Systems shall be reviewed at least annually.<\/li>\n<li>Individuals have the right to access their personal data and any such requests made\u00a0to the Service shall be dealt with in a timely manner.<\/li>\n<\/ul>\n<p><strong>4. Lawful purposes<\/strong><\/p>\n<ul>\n<li>All data processed by the Service must be done on one of the following lawful bases:<\/li>\n<li>consent, contract, legal obligation, vital interests, public task or legitimate interests\u00a0(<a href=\"https:\/\/ico.org.uk\/for-organisations\/guide-to-data-protection\/guide-to-the-general-data-protection-regulation-gdpr\/lawful-basis-for-processing\/\" target=\"_blank\" rel=\"noopener\" data-lasso-id=\"19\">see ICO guidance for more information<\/a>).<\/li>\n<li>The Service shall note the appropriate lawful basis in the Register of Systems.<\/li>\n<li>Where consent is relied upon as a lawful basis for processing data, evidence of opt-in consent shall be kept with the personal data.<\/li>\n<li>Where communications are sent to individuals based on their consent, the option\u00a0for the individual to revoke their consent should be clearly available and systems should be in place to ensure such revocation is reflected accurately in the Service\u2019s Systems.<\/li>\n<\/ul>\n<p><strong>5. Data minimization<\/strong><\/p>\n<ul>\n<li>The Service shall ensure that personal data are adequate, relevant and limited to\u00a0what is necessary in relation to the purposes for which they are processed.<\/li>\n<\/ul>\n<p><strong>6. Accuracy<\/strong><\/p>\n<ul>\n<li>The Service shall take reasonable steps to ensure personal data is accurate.<\/li>\n<li>Where necessary for the lawful basis on which data is processed, steps shall be put\u00a0in place to ensure that personal data is kept up to date.<\/li>\n<\/ul>\n<p><strong>7. Archiving\/removal<\/strong><\/p>\n<ul>\n<li>To ensure that personal data is kept for no longer than necessary, the Service shall\u00a0put in place an archiving policy for each area in which personal data is processed\u00a0and review this process annually.<\/li>\n<li>The archiving policy shall consider what data should\/must be retained, for how long,\u00a0and why.<\/li>\n<\/ul>\n<p><strong>8. Security<\/strong><\/p>\n<ul>\n<li>The Service shall ensure that personal data is stored securely using modern\u00a0software that is kept-up-to-date.<\/li>\n<li>Access to personal data shall be limited to personnel who need access and\u00a0appropriate security should be in place to avoid unauthorized sharing of\u00a0information.<\/li>\n<li>When personal data is deleted this should be done safely such that the data is\u00a0irrecoverable.<\/li>\n<li>Appropriate back-up and disaster recovery solutions shall be in place.<\/li>\n<\/ul>\n<p><strong>9.
